About the Role:
This role is the backbone of our operations, ensuring the right people are working on the right projects at the right time. You will partner closely with Account Management, Creative, Strategy, and Project Management teams to balance workloads, protect deadlines, and keep projects moving efficiently from brief to delivery.
Key Responsibilities:
Manage the end-to-end traffic and resourcing process across all active accounts and projects
Based on brief from Head of Departments, build and update overview of client-specific teams within each department and make project staffing decisions based on that in coordination with Project Managers.
Build and maintain resource schedules, allocating creative, strategy, and production staff based on skillset, capacity, and project priority
Own the agency's traffic system/workflow tool (e.g., Workbook / COR), keeping timelines and statuses up to date
Identify resourcing conflicts, capacity gaps, or bottlenecks early and proactively propose solutions
Facilitate daily/weekly status meetings (stand-ups, traffic meetings) with Creative, Strategy, and Account teams
Track project timelines against deadlines and flag risks to Account/Project Management
Partner with Finance/Project Management on freelancer and overtime forecasting when internal capacity is constrained
Maintain visibility into team utilization rates and provide regular capacity reports to leadership
Support onboarding of new projects by translating briefs into actionable task assignments and timelines
Continuously improve traffic processes, tools, and templates to increase efficiency
Handle capacity and staffing tasks in internal systems.
Own the freelancer search, onboarding processes & documentation, and overall communication.
Requirements & Qualifications:
3+ years of experience in a resource management, traffic, or project coordination role within an advertising, marketing, or creative agency
Strong understanding of creative and production workflows (design, copy, video, digital, social)
Experience with resource/traffic management or project management software
Excellent organizational skills with the ability to manage multiple concurrent projects and shifting priorities
Strong communication and negotiation skills; comfortable pushing back on unrealistic timelines
Detail-oriented with a proactive, problem-solving mindset
Ability to stay calm under pressure in a fast-paced, deadline-driven environment
Nice to Have:
Familiarity with agency financial/billing processes (job costing, budgets, freelancer POs)
Experience supporting integrated marketing campaigns (digital, social, video, print)
Background in Agency Operations or Project Management.
