About the role

We are looking for a proactive, highly organized, and detail-oriented Executive Assistant & Office Lead to support our executive leadership team and act as the primary focal point for our Miami office. This role is responsible for performing the essential functions listed below and requires the skills and experience described.

This is a highly on-site role that requires daily presence in the office. You will serve as the connector between local leadership, team members, visitors, and key internal departments—specifically People and Workplace Experience—ensuring the smooth running of day-to-day operations, supporting local events, and maintaining a high standard of executive hospitality.

 

Job responsibilities

1. Executive Agenda & Administrative Management

  • Calendar Management: Proactively organize, prioritize, and manage complex, fast-changing executive schedules to optimize time efficiency.

  • Meeting Coordination: Schedule critical governance committees, client alignments, business reviews, and key account events.

  • Gatekeeping & Prioritization: Act as the main point of contact for internal and external meeting requests, demonstrating high confidentiality and executive presence.

2. Travel & Logistics Management

  • Travel Coordination: Plan and execute comprehensive domestic and international travel itineraries (flights, hotels, ground transportation) in compliance with company policies.

  • Visa & Relocation Support: Provide operational assistance and follow-up on visa processes, passports, and logistical arrangements for corporate travel or transfers.

3. Office Lead & On-Site Presence (Primary Focal Point)

  • Act as the local focal point to identify and address office needs, working closely with the People and Workplace Experience teams.

  • Executive Hospitality & Meals: Oversee executive lunch arrangements, VIP guest receptions, and ensure an excellent overall visitor experience.

  • Event Support: Provide hands-on operational and logistical support for office activities, team events, client visits, and town halls.

  • Resource & Equipment Logistics: Coordinate requests for office supplies, hardware/software setup, site access, and other day-to-day logistics to keep the office running smoothly.

4. Operational Support & Expense Management

  • Expense Reporting: Administer, review, and process corporate credit card reports and reimbursement requests in internal company systems.

  • Internal Communication: Facilitate smooth communication between leadership, cross-functional teams, PODs, and Studios.

  • Confidentiality: Handle proprietary, strategic, and sensitive business information with complete discretion.

 

Minimum Qualifications

  • Experience: 5+ years of experience in an Executive Assistant or Office Manager role supporting C-level or senior executives, ideally within global technology companies or fast-paced environments.

  • Work Arrangement: Strong commitment to on-site work at the Miami office 

  • Languages: Bilingual fluency in English and Spanish (advanced/fluent English is required for multicultural context and global clients).

  • Mindset & Skills: Highly proactive, exceptional organizational and multi-tasking skills, adaptability to last-minute changes, and outstanding interpersonal skills.

Compensation: The anticipated base pay range for this position is $70,000 to $90,000 per year depending on experience, skills, location, and internal equity.
